Automations

Have Pulse email your clients a booking confirmation, a reminder and a thank-you, and send you a heads-up before visits and a morning summary of the day.

Automations are the messages Pulse sends around your Cue appointments without you asking each time. When a client books, Pulse can confirm it, remind them before the visit and thank them afterwards. It can also give you a heads-up about anything unusual and a morning email listing the day’s appointments. Emails go out through Relay, from your business’s own mailbox.

Everything is in Settings → Automations.

Before you start

  • You must be the workspace owner. Only the owner can change automations.
  • Bookings come from Cue. Automations work on appointments booked in Cue. See Services, staff and booking.
  • Relay needs an SMTP setup to send through. If Relay can’t send, Pulse skips the email. See Send mail with SMTP.
  • Clients need an email address on the booking. A booking without one gets no client emails.

Important Pulse sends nothing until the workspace owner changes a setting on this page for the first time. That first change switches automations on, with all the settings as they’re shown.

The messages

Setting What Pulse sends When
Confirmation email on booking A confirmation to the client As soon as they book
Reminder before the appointment A reminder to the client The number of hours before the visit you set after Send (24 by default, from 1 to 168)
Brief me before appointments A heads-up to you about a booking that needs attention The number of hours before the visit you set after Send (24 by default)
Daily digest (inside Brief me before appointments) A morning email to you listing the day’s appointments At the hour you set after at, in your business’s time zone (07:00 by default)
Thank-you after the visit A short thank-you to the client Two hours after the appointment ends, or straight away when you mark it completed

All of these are on until you switch them off. Changes save as soon as you make them.

What’s in your heads-up and digest

Pulse sends these to the email address you sign in to Oroe with. A heads-up is sent only when there’s something worth knowing about the booking:

  • the client left a note when booking
  • it’s their first visit, with no earlier record in Nest
  • the booking is still pending and not yet confirmed

The Daily digest lists each of the day’s pending and confirmed appointments by time, with the same notes beside any that are worth a look. On a day with no appointments, no digest is sent.

Reminder calls

Under Reminder before the appointment, Also call the client is meant to have a Tron agent phone the client and ask them to confirm. Don’t rely on it yet: phone reminders haven’t been tested end to end, so treat reminders as email only for now.

Choose who says yes

Approval mode decides whether client emails go out on their own:

  • Send automatically sends confirmations, reminders and thank-yous as they’re due. This is the default.
  • Ask me first holds each client email until you approve it in Waiting for your OK on the Automations page.

Your own heads-ups and digests are always sent without asking.

Note Pulse doesn’t alert you when an email is waiting, so check Waiting for your OK on the Automations page. Each held email shows the recipient, subject and exact text. Approve sends it within a few minutes; Reject means it won’t be sent.

How Pulse keeps messages right

  • It checks the booking when the message is due. If the appointment was cancelled or marked no-show, its messages are cancelled. If it was moved, the reminder and heads-up follow the new time.
  • The facts come from Cue. Each email starts from a fixed template filled in from the booking and your business details. If you have a chat model set up, Pulse may use it to reword the email, and keeps the new wording only if every fact survived and nothing new was added. Otherwise the template is sent as it is.
  • Each email is sent once, even if Pulse has to try again.
  • Pulse adds a note to the booking in Cue saying what it sent, for example “Booking confirmation email sent to … via Relay.”

What turning on automations allows

Switching automations on lets Pulse send email through Relay and add notes to Cue bookings for your workspace. The same actions become available when you ask Pulse in chat, where emails still wait for your approval. See Let Pulse act in your other modules.

What automations don’t do

  • They don’t send text messages or make calls. Client messages are email only.
  • They work on Cue appointments only.
  • Cue itself doesn’t email your clients. These messages come from Pulse, through Relay.
